We hear it all the time: "We manage that in Excel or our CRM." Sounds simple. It isn't. Anyone who takes key management seriously cannot afford those workarounds. The risk is larger than it looks:
No real key management:
Excel, CRM and other general tools are not built for key handovers, returns, visitor access rights, multiple assignments or time-based permissions. Improvised solutions lose the overview quickly, at the latest at the next audit.
In practice the whole process for access control and key tracking is missing.
Zero audit security:
Only a dedicated solution like portier records without gaps who held which key at what time, and who was given access. CRM systems and general tools lack the required audit logs.
In an audit or after an incident there is no audit-proof evidence. The organisation carries the liability.
No original data from the manufacturer:
